With ChurchReg you can modify the default Tax Receipt to suit your own purposes and then print receipts for All or for Selected Members.

OPENING THE RECEIPTS DIALOG WINDOW
Tax Receipts are available from the Funds and Accounting section of the program. To open the Funds and Accounting section click on the FUNDS menu selection in the main ChurchReg menu.

If you have Password Protection enabled you will be asked to enter your password before you can proceed. Once the Funds dialog appears click on the RECEIPTS menu selection and the Receipt dialog window appears as in Fig. 1 below.

MODIFYING THE RECEIPT
All text in headings and lines on the receipt can be modified to suit your own purposes. To do so, just left-click the mouse pointer on the line of your choice. An edit box will open on the line allowing you to change the text. After changes have been made, press enter to close the edit box.

All headings and text can be dragged to a new position (see Moving Lines) and lines for the Church Name and Address can be swapped to eliminate any gap. Read the appropriate sections following to learn how to use these features.

RECEIPT HEADING
The Receipt heading (shown in blue in Fig. 1) can be changed from the current title RECEIPT to a different title such as REVISED RECEIPT or any other heading you choose. Your heading and any other changes you make to the receipt will be remembered when you close the Receipt function.

CHURCH NAME AND ADDRESS
Your Church Name and address can be entered on up to 3 lines located below and to the left of the heading. The 3 lines use a bold text style with the first 2 in a large font for the Church name and the 3rd line in a small font for the Church Address.

The 3rd line should always be used for the Church address because of the small font size. If the Church Name will not fit on the first line, then split the name and type in the remainder on the 2nd line being sure to format the text the way you want it to appear.

If the Church name does fit on one line then the 3rd address line will be some distance away from the Church name. To remedy this problem there is built-in feature to swap Line 2 and Line 3 removing the gap. Right-click the mouse pointer over the 3rd line which is the Address line. When you do, the line swaps position with Blank Line 2. If you click again, the line returns to it's normal position (see Fig. 2 below).

You can also swap the lines by selecting Edit | Swap Address Lines in the menu.

MEMBER NAME
When the Receipts Dialog window first appears, the name of the currently selected Member from the Member List found in the Funds Dialog, shows as the Member Name on the Receipt.

You can either use this name or type in a different one. When printing a selection of receipts - each Member's Name and Address will be automatically entered on the Receipt and the correct amount will be entered at the bottom of the receipt.

RECEIPT DATE
The Date for the receipt can be one of the following:
  • Year End Date
  • Selected Period
  • Current Date
The Date is automatically entered from the choices you make in the Funds Dialog section. You can type on the Date line or change the line to one of the above by making a selection in the Receipt Date menu. However remember that any dollar figure the program has placed in the bottom area of the Receipt relates to the original date it displayed.

RECEIPT NUMBER
The Receipt Number is automatically entered and advances by one every time you PRINT a receipt. The number appears in RED at the top right corner of the Receipt dialog window. To restart numbering - type in a new number on the line and it will begin advancing from your new number each time a receipt is printed. The Receipt number cannot be greater than 5 digits.

If you type in a number that already exists, an error message appears disallowing the use of the number and you will have to enter a different number.

RECEIPT HISTORY
There is a Receipt History dialog used to Display, Sort, Print, or Delete Receipt History records. The records appear in order by receipt number. To access Receipt History click on HISTORY in the Receipt menu.

RECEIPT AMOUNT
The Receipt Amount appears automatically at the bottom left corner, beside the word Total.You can enter a different amount by typing on this line. In most cases no changes are necessary. The amount is calculated from the Period specified in the Funds dialog and for the Date shown on the receipt.

RECEIPT SIGNATURE
The Receipt Signature appears at the lower right side of the Receipt. You can use a signature from one of the 2 following choices:
  • Signature Bitmap
  • Plain Text
SIGNATURE BITMAP
For a Signature Bitmap you must create the bitmap using the signature of the authorized person. For example, sign your name on bright-white paper using a black ink pen. Press down heavy to be sure the lines are dark.

Scan the paper using your computer scanner and convert the image to a bitmap (.bmp) file using the software that normally comes with your scanner, or use your favourite software. The image you create should be cropped so that there is no blank space around the outside of the signature.

Next, in the Receipt menu click on SIGNATURE then click on USE SIGNATURE BITMAP in the list and the menu closes. Re-open the menu by clicking on SIGNATURE then click on CHOOSE BITMAP FILE. A file dialog appears allowing you to select a bitmap file for the signature. Locate and select the file you created with your Signature Bitmap then click on OPEN and the file dialog closes.

Your Signature Bitmap should then appear in the correct position in the Receipt dialog window at the lower right. If the signature appears too high or too low in the space, you can move it's position (or position of any text) by following the steps in the section entitled Moving Text later in this topic.

PLAIN TEXT SIGNATURE
Although a TEXT signature may not be appropriate for a valid Receipt, the program allows you to enter Plain Text on the signature line in case you want to change the heading and signature in this line for another purpose. For example you could change the line below the signature to read:
"PRINT NAME OF SUBMITTING AUTHORITY ABOVE"
To select a TEXT signature click on the menu SIGNATURE | USE PLAIN TEXT SIGNATURE option. Next left-click the signature line to open an edit box on the line. Type in the name or text you want to appear on the line and then press ENTER to close the edit box. Go to the Signature menu option and click on CHOOSE SIGNATURE FONT.

The FONT dialog window appears allowing you to select any of the current fonts on your system and also to select the Font Style and Font Size (see Fig.4).

Click on OK after you have selected the Font, Font Style, and Font Size and the Font dialog closes. Your TEXT signature has now changed to the font you selected. You may have to go back to the font dialog a number of times to experiment and select the best settings for the text you have entered

ACKNOWLEDGMENT LINE
Above the AMOUNT line is a line with small print. This line is intended for a brief message to thank the individual for their contributions. By default the line reads:
"WE ACKNOWLEDGE WITH GRATEFUL THANKS YOUR FINANCIALSUPPORT"
As with all other lines on the Receipt, just left click the line to open an Edit box and type in your statement.

BUSINESS NUMBER
Below the AMOUNT line is a line with small print. This line is intended to enter any information required by law - such as the Charitable Business Number or other legal identification. As with all other lines on the Receipt, just left click the line to open an Edit box and type in your required information. Press ENTER to close the Edit box and display your changes.

MOVING LINES
To move any line on the Receipt, hold the CTRL key down while left-clicking the line. Release the CTRL key and keep the left mouse button down while dragging the line to a new position.

When finished right-click the mouse or press ENTER to accept the new position. You can use this feature to raise or lower the signature or reposition any line.

While moving the text you can adjust the position more precisely by using the arrow keys. If you hold CTRL down while using the arrow keys the movement is speeded up.

In the Receipt Menu under EDIT you can click on MOVE LINE to begin the Move Line feature without holding CTRL down. Then click on a line to begin.

If you move a line below another line so that it becomes lost - you can restore the line to it's original position by selecting RESET CURRENT LINE in the EDIT menu or press CTRL+Z.

To restore all lines to their original position - click on RESET ALL LINES in the EDIT Menu or press CTRL+ALT+Z.

If you move a line that was previously on top of another line, the backgrounds become mixed and are moved with the line. To remedy this situation press F5 to REFRESH the screen or click on REFRESH in the EDIT Menu.

Be sure to save changes in the FILE menu if you want to save the new positions, however before exiting the Receipt function the program will ask whether to save changes.

BLANK RECEIPT
You may want to print a blank receipt to fill in the details by hand. To clear the Date, Name, Address, and Amount on a receipt, go to the Edit Menu and select BLANK RECEIPT. You can then print or enter new information as you wish.

SAVING ALL CHANGES
Whenever you make changes to any lines on the Receipt (including toggling line positions) and press ESC or try to quit the Receipt function, a message will appear asking whether you want to save changes or not. Answer YES to save or NO to discard changes. You are then returned to the Funds and Accounting function.

PRINTING RECEIPTS
The program allows you to print the currently displayed receipt, or choose a random selection of receipts to print, or print receipts for All members.
